POSITION OPENING FOR A

PROSECUTING ATTORNEY’S ASSISTANT



    The City of St. John currently has an opening for a part time Prosecuting Attorney’s Assistant.  Regular hours would be 8am-5pm, Monday thru Friday.  Court days will require additional hours based on the length of the court for that particular day.  Main duties include working with the: prosecuting attorney, public, police department, attorneys and municipal court.  Job duties include, but are not limited to, answering phones, processing communications and correspondence directed to and from the PA, court notices to defendants, organization and filing of PA files and attendance at all courts.  The successful candidate must be a self-motivated person with prior experience in the Prosecuting Attorney’s Office and/or the Municipal Court; Certification with REJIS for LEWEB and PAMS; Be proficient in Windows 10 Pro, MS Word and Adobe PDF, as well as general computer skills.

PROSECUTING ATTORNEY’S ASSISTANT

DIRECT SUPERVISION:             Assistant City Manager


FLSA CLASSIFICATION:                      Non-Exempt

 GENERAL PURPOSE


This full time position operates under the non-direct supervision of the St. John Prosecuting Attorney.  It entails all clerical and administrative duties, including customer service, of the Office of the Prosecuting Attorney; Interacts with all public and other legal entities; and ensures that the proper case file information is dissminated between the Office of the Prosecuting Attorney, the Police Department, the Municipal Court and other jurisdictions per Missouri State Law.



ESSENTIAL DUTIES AND RESPONSIBILITIES


The list below is a general, summarized list, and is not inclusive of all job functions and will change with applicable laws as passed by the State of Missouri and/or the City of St. John:



1)    Serves as the point of contact for the Municipal Prosecuting Attorney by processing all correspondence and case documentation within and related to the Office of the Prosecuting Attorney.


2)    Serves as the point of contact for the general public, defense attorneys, and other municipal departments. Assists Prosecuting Attorney on court nights.


3)    Provides the general public with information and direction on all matters relating to the

Office of the Prosecuting Attorney. Operates front desk telephones and assists members of the general public as needed.


4)    Handles all communications between the Prosecuting Attorney and defense attorneys.


5)    Gathers information and communicates case information between the Office of the Prosecuting Attorney and the Police Department.


6)    Provides clerical support to the office, preparing correspondence and completing documents as needed; processes incoming mail and attorney requests for recommendations; updates prosecutor files accordingly; answers phone inquiries and emails directed toward the office.


7)    Assists the prosecutor by ensuring all complaints and "Information"  are  properly  filed and documented per Missouri State Statute, St. John Municipal Code and  all  other rules governing prosecutorial procedures,


8)    Creates/completes prosecutor case file information accordingly.  Ensures all applicable documents are properly filed between the Office of the Prosecuting Attorney and the Municipal Court.


9)    Receives police citations, police/investigation reports and criminal history reports from the Police Department. Prepares lists of citations issued by the Police Department and reviews and verifies the list of violations for issuance or refusal by the Prosecuting Attorney.


10)     Serves as the liaison between the Office of the Prosecuting Attorney, the Police

 Department and the Municipal Court.


11)     Assists in the City's response to Sunshine Requests regarding law enforcement data, particularly that relating to matters of discovery, public case files and audio/visual materials.


12)     Procures Ticket Numbers from Missouri State Highway Patrol for Mobile

             Ticketing.


13)     Other duties as assigned.



KNOWLEDGE, SKILLS AND ABILITIES:


1)    Comprehensive knowledge of the role of an Office of the Prosecuting Attorney in municipal government context preferred.


2)    Knowledge of law enforcement and municipal court software platforms and data systems

are preferred.  Certification from REJIS in LEWEB and PAMS is required


3)    Ability to communicate effectively and clearly with knowledge of all matters pertaining to the Office of the Prosecuting Attorney.


4)    Ability to maintain discretion regarding legal proceedings and confidential information.


5)    Familiarity with general office equipment, including but not limited to the following:


(a)    multi-line phone, adding machine, copier, fax machine, scanner, etc.


(b)    Personal computer software including Microsoft Word, Microsoft Outlook, Microsoft

Excel and other office related programming


6)      Must be able to manage and prioritize duties efficiently and effectively in order to ensure

       tasks are completed in a timely manner and with accuracy.


7)      Must be able to perform job duties independently, under non-direct supervision.


8)      Have strong customer service skills and excellent oral and written communication skills.


9)      Must be able to work in a stressful environment while maintaining quality of services

  and professional relationships. 


10) Due to the nature of the job, person must pass criminal background check through the

      Missouri State Highway Department.

PROSECUTING ATTORNEY’S CLERK

Job Description



1.    Report to and provide assistance to the Prosecuting Attorney (''PA").


2.    Receive and process communications and correspondence directed to the PA such as pleadings, requests for recommendations, requests for discovery, and any other inquiries directed to the PA.


3.    Assist in the review and processing of citations and complaints and preparation of information when necessary.


4.    Process recommendations made by the PA.


5.    Create PA files and be prepared for Court dockets.


6.    Liaison with the police department in order to gather reports, criminal and driving records and other supporting documentation necessary for the prosecution of cases.


7.    Liaison with the Municipal Court Administrator for court dates and the filing of pleadings.


8.    Must have proficiency with Microsoft Word and Adobe PDF as well as general computer skills.


9.    Must be certified with REGIS to access LEWEB and PAMS.


l 0.    Familiarity with the criminal justice system and procedures in Missouri.


11.    Able to issue subpoenas when necessary.


12.    Must be able to attend evening court sessions (currently two a month).
